DESCRIPTION Why is there a Consol Bill and how do we use it?
1. WHAT IS THE USE OF CONSOL-BILLING?
Consol-Billing (or Consolidated Billing) is a standard feature in A2000ERP which allows user to present the items being sold in a different presentation. Some examples are:
- Computer Shop: Sells 5 items; (a) Motherboard x 1, (b) Memory Chips x 2, (c) CPU x 1, (d) Computer Casing x 1, (e) Keyboard x 1 and (f) Service Charge x 1. These line items are necessary to deduct stocks and cost accordingly, but the shop wants to present the sales as 1 x “Personal Computer 101”.
- Hamper Company: Sells 3 items (a) Red Wine x 1, (b) White Wine x 1 and (c) Wine Glass. These 3 items can be consolidated into one item line called “Wine Hamper 101” and be marketed at a discounted price. Print-out can either be 1 x Wine Hamper 101 or another format with all the 3 line items.
- Air-conditioner Company: Sells (a) 1 x Air-con Unit, (b) 1 x Electrical Switch, (c) 15 x meter Piping, (d) 1 x Stainless Steel Bracket and (e) 1 x Install Service. They can enter 5 line items for proper accountability of inventory, and print all the 5 line items. Or they may choose to bill the customer and print the invoice as 1 x “Air-con with Full Installation”.
2. HOW DO I START USING CONSOL BILL?
Assuming user creates a Sales Order with 5 line items like this: -
Practical Cases: In some cases (market sensitivities reasons), the seller may not want to expose the description of the product they sell, and want to change the product description to a generic one, like RED WINE instead of entering full description of Coldstream 2005 Shiraz Special..
In other case, to protect pricing integrity, they do not offer outright discounts, but they are able to mask individual pricings under a lump sum bundle.
In the following example, the seller may wish to consolidate these 5 lines into 2 bundles;
- COLDSTREAM WINE BUNDLE comprising the first 3 items
- FONTANAFREDDA WINE BUNDLE comprising last 2 items
STEP 1 Click the CONSOL BILL tab at the line detail frame:
STEP 2 In the Consolidated Item description, type consolidated item name (free-text). In this he enters COLDSTREAM WINE BUNDLE as the first consol-item.
STEP 3/4 Enter Quantity and Unit of Measure for this Consol-Item (free-text)
STEP 5 Click SELECT, and the right pane will display all the line items available for you to consolidate into this line.
STEP 6 For COLDSTREAM WINE BUNDLE, the user clicks on the first 3 items only. The amount for this Consol-Item 1 is now showing as $60.00
The above completes the first bundle (3 line items) for COLDSTREAM WINE BUNDLE.
User repeats STEP 2 to 6 again in the second line for FONTANA FREDDA WINE BUNDLE:
NOTE 1: User may click “E” (Extended Description) to enter more free-text descriptions under the
consol-items, which can be printed. See example.
NOTE 2: The available item to pick for the second consol-item is down to only the 2 lines for the
FONTANA FREDDA WINE BUNDLE to choose from. The amount for Consol-Item 2 is now only $90.00
For the print-out, user may choose either of the appropriate print design; either one with all the 5 lines items or the form design with Consol-Items.
3. WHAT ARE THE TRANSACTIONS THAT SUPPORT CONSOL-BILL?
Consol-Billing is supported across most of the sales transactions SALES ORDER (CO), SALES INVOICE (CE), DELIVERY ORDER (CY) and (CU), CREDIT INVOICE (CR), CASH INVOICE (CA) and INVOICE ON D/O (CI).
