ACTIVE DATE RANGE SETTING

DESCRIPTION      

DESCRIPTION        We cannot create transactions as a message popped up - "The selected TRANSACTION DATE is after the TO DATE in System Settings". What should we do about it?


 

1.  WHAT IS THIS MESSAGE ABOUT?

 

This is caused by a security setting to keep transactions within an allowable date range. The message means users cannot create/edit any transactions before the "From Date" and after the "To Date". Users can only modify a transaction within the "From" and "To" dates in the Active Date range.

 

This will usually happen to users when a new financial year starts. For example; the System Administrator may have set the Active Date Range as 1-Jan 2016 to 31-Dec 2016. If the user attempts a transaction dated 1-Jan 2014, it will be prohibited

 

 

 

2.  WHY NEED THIS?

 

First and foremost concern is security and data integrity. The System Administrator should set a date range to prevent accidental date entries. 

 

For example, when one user may set his PC with USA date-format (MM-DD-YYYY) enters a date as 3-7-2016 (intending it to be 7-March 2013) but may be UK-format in another PC (DD-MM-YYYY) and recognized as 3-July 2016. It will create a problem if the reporting quarter had been closed on 30-Jun 2016. 

 

With an Active Date Range setting of 1-June to 31-July 2016, the system will thus reject an entry to be created as 7-March 2016, if this security setting was done.

 

 

 

 

3.  HOW TO HANDLE THIS MESSAGE?

 

  • Go to System Manager à Transaction Number Maintenance  à Active Date Range.
  • Select the Transaction Type you wish to set/change the - From Date and To Date settings. Save and exit this screen.

 

 

 

 

4.  CONCLUSION

 

When this setting is done, it will prevent unexpected errors coming from users if there are many users in the system.
